How do I use Email Templates and create Outreach Sequences?

Outreach Sequences in Wellfound Reach let you send a series of personalized, automated messages to candidates at timed intervals — all matched to your voice and style. This article walks you through setting up your email integration, creating sequences, and sending outreach to candidates.


What is an Outreach Sequence?

An Outreach Sequence is a set of automated messages, called stages, sent to a candidate over time. Each sequence must include at least one stage and is tied to a specific Project. Outreach Sequences integrate with Gmail only — make sure your Gmail account is connected before getting started.

Step 1: Connect your Gmail account

Before creating any sequences, you'll need to link your Gmail account.

  1. Sign in to Wellfound Reach.
  2. Navigate to a Project.
  3. Click 'Email Templates' in the left-hand toolbar.
  4. Click 'Continue with Google' and complete the connection prompts.

Already connected? Skip ahead to creating your sequence.


Step 2: Create an Outreach Sequence

Once your Gmail is connected, click 'Create Sequence' in the top right corner of the Email Templates page. You'll have two options: build with AI assistance or start from scratch.

Option A: Create with AI

  1. Select 'Use AI to draft your sequence'.
  2. You'll be taken to the Wellfound Asks portal. Select 'Create a new outreach sequence'.
  3. The AI will begin building your sequence and ask follow-up questions to refine it.
  4. Each stage of your sequence will generate in real time on the right-hand side.
  5. To adjust the sequence, either type instructions in the chat or edit each stage's copy directly.
  6. When you're satisfied, click 'Create Sequence' in the top right corner.

  7. Your new sequence will appear on the 'Email Templates' page, accessible from the left-hand toolbar.


Option B: Create from Scratch

  1. Select 'Create from Scratch'.
  2. On the Outreach Sequence editing page, fill in the fields for your first stage.
  3. To add additional stages, click  'Add Stage' below the current stage fields and fill in the details.


  4. Repeat until your sequence is complete.
  5. Click 'Save' or 'Save and Close' in the bottom right corner.


Step 3: Send an Outreach Sequence to a Candidate

  1. Find a candidate you'd like to contact and click their candidate card to open their profile.
  2. Click 'Add to Prospects' in the top toolbar of the candidate card.


  3. Navigate to your 'Prospects' page using the right-hand toolbar.
  4. Click on the candidate you want to message.
  5. Select 'Messages' within the candidate card.
  6. Use the dropdown to choose your preferred Outreach Sequence.
  7. Click 'Send Outreach' on the right-hand side when ready.


Improve your sequences with Company and Job Pitch Points

Adding pitch points gives the AI more context to personalize your outreach messages with accurate company and role details.

  1. Open the Project you're working on.
  2. Click 'Project Settings' in the bottom right corner.
  3. Select 'Company and Job Pitch Points' from the top toolbar.
  4. Fill in the relevant fields to help Wellfound's outreach tools tailor your messages.
